What we collect, why we are allowed to use it, who we share it with, how long we keep it, and what you can ask us to do about it.

1. Who is responsible for your data

1.2 The web address is not a trading name

This policy covers the website at the web address landlordinsuranceuk.com. That address is descriptive: it was chosen because it says what the site is for. It is not a trading name, it is not a company, and it is not the name of the firm that holds your data.

The trading style is LandlordQuote, and LandlordQuote is a trading style of Simply Quote Comparison Ltd. That company is the data controller named above, and it is responsible for your personal data whichever web address you used to reach this site.

1.3 Our data protection officer

Our data protection officer is Chris Richards, who holds the same role across Simply Quote Comparison Ltd and its other brands. Data protection questions, requests to use any of the rights set out below, and anything you are unhappy with about how your information has been handled can go to him directly at dataprotection@simplyquote.co.uk, or by post to the registered office given above.

1.4 What this policy does not cover

Once your enquiry reaches the quote panel and then an insurer or a broker, that firm decides for itself what it does with your details and is responsible for them under its own privacy policy. This page cannot speak for them. It also does not cover any other website you reach from a link here.

2. What we collect

2.1 What you provide

  • About the property: address and postcode, type, age, construction, rebuild cost, number of bedrooms, and any history of flooding or subsidence.
  • About the letting: tenancy type, the kind of tenant, how long it has been let, whether it is ever unoccupied, and the rent.
  • About the risk: previous claims, and anything else a provider needs in order to price it.
  • About you: your name, email address and telephone number, so that a provider can come back to you.
  • If you contact us: whatever you put in your message, and anything you send with it.
  • If you complain: the detail of the complaint and the correspondence about it.

2.2 What we record automatically

Our server logs record the page requested, the date and time, the browser and operating system, the site you arrived from, and your IP address. These keep the site running and let us investigate an outage or an attack. They are not used to build a profile of you, and they are deleted on the cycle set out below.

Our analytics records which pages are read, how visitors move between them, the browser and device type, and roughly where in the country the visit came from, at the level of a country or city rather than an address. It sets no cookie and does not identify you. That has its own section below.

2.3 Special category data, and criminal convictions

We do not ask for any of it. Special category data means information about health, race, ethnic origin, political opinions, religion, trade union membership, genetics, biometrics, sex life or sexual orientation, and none of our questions go near it. We do not ask about criminal convictions either. If a provider needs something of that kind in order to offer you a policy, it will ask you directly and it will be responsible for it, not us.

2.4 What we never ask for

We do not ask for bank details, card numbers, your date of birth for identity checking, or any password. We never telephone you to ask for a payment. If a form or a caller claiming to be Landlord Insurance UK asks you for a payment detail, it is not us, and we would like to know about it.

2.5 Children

This service is for people letting property, so it is aimed at adults, and we do not knowingly collect data about anyone under 18. If you believe a child has sent us their details, tell us and we will delete them.

3.1 What our legitimate interests actually are

Keeping the website up and defended against abuse, being able to show what an enquiry said if it is later disputed, and being able to answer a complaint properly. Where we rely on this basis we have weighed it against your interests, and you can ask us to explain that balance or object to it.

4. Automated decisions and profiling

4.1 What we do

We pass on what you provide. There is no scoring, no ranking of you as a customer, and no decision taken by a system here that has any effect on you.

4.2 What providers do

Insurance pricing is largely automated across the market, so the firm quoting for you may well use an automated process, and may combine what you have told it with data from credit reference or anti-fraud databases. That decision is the provider's, taken under its own privacy policy.

4.3 Your right to a human

Where a decision is made about you by automated means alone and it has a legal or similarly significant effect, you have the right to ask for a person to look at it, to express your point of view, and to contest it. That right is exercised against the firm that made the decision. If you are not sure which firm that is, ask us and we will tell you who we passed your enquiry to.

5. Marketing

5.1 How you opt in

By ticking an unticked box that says what you are agreeing to. We record what the wording said and when you agreed, so that we can show what you consented to. That record is tied to a version number, and the version of this notice is at the foot of this page.

5.2 What you would get

Emails from LandlordQuote (landlordinsuranceuk.com) about landlord insurance, and about changes in the law that affect landlords: new rules on possession, deposits, licensing, safety certificates and the like. Nothing daily, and nothing unrelated to letting property.

5.3 How to stop it

Every marketing email carries an unsubscribe link, and using it is enough on its own. You can also email dataprotection@simplyquote.co.uk and ask. We do not ask you why, we do not make you log in, and we do not send a final message asking you to reconsider. We keep a note that you opted out, because that record is how we make sure you are not added again by mistake.

5.4 We do not sell your data

We do not sell, rent or trade your personal data. We do not pass it to anyone so that they can market their own products to you, and we do not buy marketing lists. The only reason your details go to another firm is to get you the quotes you asked for.

5.5 Marketing by the firms you are introduced to

An insurer or broker that quotes for you may want to market to you as well. That is their decision and their consent to collect, taken under their own policy, and it is not something we do on their behalf or can switch off for you. If you want it stopped, ask them.

6. Cookies and analytics

6.1 Why there is no cookie banner

The rule that makes sites ask is about storing information on your device or reading information already there. Our analytics does neither, so there is nothing to obtain your permission for. A banner asking consent for cookies we do not set would be theatre, and it would train you to click through the ones that matter elsewhere.

We set no cookies at all, and we store nothing else on your device either.

6.2 What happens if that ever changes

The law allows a cookie without consent only where it is strictly necessary to provide something you have asked for, such as holding what you typed into a form between one page and the next. Anything beyond that needs your permission. If we ever add a cookie that is not strictly necessary, we will ask you first, and we will ask before it is set rather than after.

6.3 What our analytics does

It is provided by Ahrefs. It counts page views and shows which guides are read, which are ignored and where visitors arrive from. It sets no cookie and uses no persistent identifier, so it cannot follow you between visits or between websites. Your IP address is used in passing to work out a rough location and is combined with your browser details and a value that changes every day to produce a short code that lets one visit be counted once. Ahrefs states that the raw address is never stored. We do not use any of it for advertising, we do not share it with insurers or brokers, and we could not identify you from it if we wanted to.

6.4 If you would rather not be counted

Blocking scripts from analytics.ahrefs.com, in your browser settings or with any content blocker, stops it completely. Nothing on this site behaves differently if you do, and we would rather tell you how than pretend it cannot be avoided.

7.1 The quote panel

The panel is operated by Seopa Ltd, which trades as Quotezone and is authorised and regulated by the Financial Conduct Authority under reference 313860. It is registered with the Information Commissioner's Office under Z8733752, and its registered address is Floor 4, Blackstaff Studios, 8-10 Amelia Street, Belfast, Northern Ireland, BT2 7GS. It is a separate data controller rather than our processor, so once your enquiry reaches it, it is responsible for what it does with it.

7.2 Insurers and brokers

A provider that receives your enquiry becomes responsible for it as its own controller. Each has its own privacy policy, and each may check what you have said against anti-fraud and claims databases, as insurers generally do. If you want to know exactly which firms received your details, ask us.

7.3 Our suppliers

Hosting, email delivery, analytics and error monitoring are provided by third parties who act only on our instructions, under a written contract that requires them to keep the data secure, to use it for nothing else, and to delete it when we say so.

7.4 When the law requires it

We will disclose personal data where we are legally obliged to, for example to the Financial Conduct Authority, the Financial Ombudsman Service, the Information Commissioner's Office, the police, or a court. We will also disclose it where we need to in order to establish or defend a legal claim. If the business or part of it were ever sold, records could transfer to the buyer, who would be bound by this policy.

8. Sending data outside the UK

8.1 When it happens

Our hosting provider is a United States company and runs infrastructure in several countries, and an analytics or email supplier may do the same. Your enquiry itself goes to a UK firm, and to providers who are mainly UK based.

8.2 The safeguards we rely on

One of the following, in this order of preference: the country is covered by UK adequacy regulations, so it is treated as offering equivalent protection; or the transfer is made under the International Data Transfer Agreement, or the UK Addendum to the European Commission's standard contractual clauses. Where we rely on either of the last two, we carry out a transfer risk assessment first. You can ask us for a copy of the safeguard that applies to a particular supplier.

9. How long we keep it

9.1 What happens at the end of it

The record is deleted, or anonymised so that it can no longer be connected to you. Where we anonymise rather than delete, what is left is statistics, and it is no longer personal data.

10. How we keep it safe

10.1 The measures

Every page is served over HTTPS. Data is encrypted in transit and at rest by our hosting and email suppliers. Access is restricted to named people who need it for their work. We keep logs so that we can tell what happened if something goes wrong. No system is perfectly secure, and we do not claim otherwise.

10.2 If something goes wrong

If there is a personal data breach that is likely to risk your rights and freedoms, we will report it to the Information Commissioner's Office within 72 hours of becoming aware of it. If the risk to you is high, we will tell you directly, and we will tell you what we are doing about it.

11. Your rights

Withdraw consent At any time, and as easily as you gave it. Withdrawing it does not undo what was lawful before.

11.1 How to use them

Email dataprotection@simplyquote.co.uk and tell us which right you want to use and what you are asking for. You do not need to quote any law or use any particular form of words, and you can write to the registered office instead if you would rather.

11.2 How long we take

We will respond within one month. If a request is complex, or you have made several, we may extend that by up to two further months, and if we do we will tell you within the first month and say why.

11.3 Proving who you are

We may ask you to confirm your identity before we hand over personal data, because the alternative is giving your data to someone who asked for it while pretending to be you. We will ask for the least we can manage with, and only where we genuinely have a doubt.

11.4 What it costs

Nothing. We will not charge you for making a request, or for a copy of your data. The only exception the law allows is a request that is manifestly unfounded or excessive, or a repeated request for the same copy, and if that ever arose we would explain it before charging anything.

12. Complaining about how we use your data

12.1 To us

Email complaints@landlordinsuranceuk.com and we will deal with it under our complaints policy. We would rather have the chance to put it right.

The ICO is the UK regulator for data protection, and it is free to complain to.

12.3 If your complaint is about an insurer or broker

A data protection complaint about a firm that quoted for you goes to that firm, and then to the ICO. A complaint about the insurance itself is a different thing and goes through the Financial Ombudsman Service. Our complaints policy explains which is which.

The last updated date at the top of this page is the quickest check. If a change materially affects what we do with data we already hold about you, we will tell you directly rather than rely on you noticing.
